Privacy notice
How Kentford Parish Council handles personal information collected through this website.
Survey responses
When you respond to a survey we ask for your email address for one reason only: to check that each person votes once.
We do not store your email address. We store a one-way cryptographic hash of it, which cannot be reversed back into an address and cannot be matched against any list. This lets us recognise a repeat vote without ever holding a record of who voted. We also keep the domain part of the address (for example "example.co.uk") to help spot organised attempts to distort a survey.
If you do not confirm your response, the pending record, including the hash, is deleted automatically when the link expires.
Your address is never added to a mailing list, never shared, and never sold.
Comments
If you leave a comment on a survey, councillors read it before the next meeting. Comments are not published on the website and are not linked to your email address.
Website logs
Our hosting provider keeps standard server logs. IP addresses associated with survey responses are stored as a hash, not in readable form.
Cookies
We only set cookies that the website needs to work, such as keeping you signed in, unless you agree to more.
If you accept analytics cookies, we use Google Analytics to count visits and see which pages are used, so we can improve the website. Google Analytics does not store your IP address, and we have turned off advertising features and data sharing. If you reject analytics cookies, or do nothing, Google Analytics is not loaded at all. You can change your choice at any time using the cookie settings link at the bottom of every page.
Your rights
You have the right to ask what personal data we hold about you, to have it corrected, and to have it erased. Contact the Clerk.
PLACEHOLDER: this notice must be reviewed against the Council's registration with the Information Commissioner's Office and its wider data protection policy before go-live.
